About the Role

We’re looking for a Project & Operations Director who thrives in a creative, fast-paced environment and brings a structured, proactive approach to agency operations and project execution. This is a key leadership role that combines tactical project management with high-level operational oversight—ensuring our team runs smoothly, efficiently, and with intention.

You’ll be responsible for managing timelines, budgets, team capacity, and internal systems—while also driving continuous improvement across the organization. You’ll insert yourself into the business as a problem-solver and thought partner, identifying opportunities for scalability and smarter ways of working, including the thoughtful use of AI tools. You understand how to optimize employee utilization, build systems for growth, and foster a collaborative culture that balances creativity with results.

Key Responsibilities

Project & Team Management

  • Oversee the execution of client marketing initiatives from concept to delivery.
  • Build and manage detailed project plans; track milestones, timelines, and dependencies across teams.
  • Maintain a real-time understanding of employee bandwidth and utilization to ensure optimal resourcing.
  • Coordinate cross-functional collaboration to meet deadlines and uphold quality standards.
  • Ensure scopes and timelines are realistic, well-communicated, and adhered to by internal and external stakeholders.

Client Communication Support

  • Partner with account leads to support onboarding, project delivery, and milestone tracking.
  • Attend client meetings as needed to provide clarity, structure, and timely follow-ups.
  • Translate complex project plans into clear client updates and expectations.

Operational Oversight

  • Own and optimize core operational platforms (e.g., Asana, QuickBooks, G Suite, JustWorks).
  • Coordinate with our bookkeeper to manage invoicing, AP/AR, forecasting, and budget tracking.
  • Build scalable systems and processes that improve operational efficiency and team performance.
  • Identify and implement AI tools or automated solutions that streamline project tracking, resource management, and reporting.

Employee & Resource Optimization

  • Support contractor and vendor management, onboarding, and documentation.
  • Lead staffing planning efforts with leadership, ensuring resource allocation aligns with business needs.
  • Monitor employee workload and utilization, offering solutions to balance capacity, morale, and profitability.
  • Champion transparency in team roles, expectations, and workflows.

Leadership & Strategic Input

  • Act as a key member of the leadership team, contributing to agency strategy and growth planning.
  • Drive culture by modeling collaboration, ownership, and creative problem-solving.
  • Proactively identify operational gaps and lead cross-functional efforts to close them.
  • Lead initiatives that improve employee experience, communication, and organizational clarity.

Continuous Improvement & Innovation

  • Audit internal workflows regularly and propose upgrades or new approaches.
  • Research and integrate modern tools and practices that boost output and reduce friction.
  • Bring a solutions-first mindset to challenges and encourage a culture of innovation.

Required Skills & Experience

You’re a great fit for this job if:

  • 5+ years of operations or project management experience, ideally in a marketing, creative, or agency setting.
  • Proven ability to lead people and projects with clarity, compassion, and follow-through.
  • High proficiency with operational and financial tools (Asana, QuickBooks, G Suite, JustWorks preferred).
  • Financial acumen: confident in managing budgets, tracking profitability, and supporting forecasting.
  • Understanding of digital marketing services and workflows.
  • Experience optimizing employee utilization and resource planning in a services-based business.
  • A systems thinker with curiosity around AI and emerging tech tools that can scale operations.
  • Excellent written and verbal communication skills—clear, direct, and solutions-oriented.
  • Independent and self-directed with a strong sense of ownership.
